The daily activity planner for property teams

Repairs. Move-ins. And everything between.

Give landscaping, cleaning and building checks a place in the week. Leave time for resident requests, repairs that need another visit and the work teams find along the way.

Start with the work you know

A regular plan.
Room for a busy day.

Clubhouse cleaning, landscape care and building checks repeat. Put those duties on the plan, with open time around them for the jobs that come in.

Each department can plan its own work. Department leads can set aside time to build and review their team’s schedule. A property manager can see work across departments and plan the commitments each lead owns.

Open a department plan, switch views or move a task into an open time. See how recurring duties and new work can fit into the day.

Regular checks leave time for resident visits. The plan shows a repair visit, a parts order and a return visit on later days.

Clubhouse cleaning, pool-area duties and gym cleaning share the day with time to prepare the community room together.

A call comes into the office

Schedule a resident visit while they are on the phone.

A resident calls about a repair and shares when they will be home. If the office team has permission to view and schedule maintenance work, they can check the technician’s plan and find an available time.

Add the address, unit, problem and access instructions. The visit appears on the technician’s schedule and the maintenance plan.

The details travel with the visit

Address. Unit. Access notes.
Details for the visit.

The technician can open the day on a phone, read the address and instructions, and tap to navigate when it is time to go.

After the visit

The visit is complete.
The repair needs a part.

The technician marks the visit complete and records what they found. The maintenance lead can review the outcome and notes.

“Latch needs a replacement part. Return visit required.”

A note on the completed visit

Review the maintenance team’s work

The note becomes the next work.

During review time, the maintenance lead reads the note and schedules two follow-ups from the finished visit. Purchasing orders the part. A technician returns to fit it.

Both tasks link back to the original visit and its notes. Each has its own owner and time, so the order and repair can happen on different days.

Purchasing orders the latch.
The maintenance lead assigns the order to the person who handles purchasing. They record the expected delivery date in the task’s notes.
A technician has a return visit.
The maintenance lead schedules it after the expected arrival. The technician can read the original visit notes before heading back.

If the delivery date changes, the plan can change too.

If delivery is delayed, the person who can change the schedule adds a note and moves the return visit. The updated assignment appears on the technician’s screen without a refresh.

Review at every level

Department leads review their teams.
Property managers review their work.

Maintenance and amenities leads review their teams’ completed work. The property manager reviews the tasks assigned to department leads, including the time they set aside to plan and review.

Review has a place in each person’s plan, just like a property round or a resident visit. The right reviewer can flag what needs attention and sign off the work, and nobody signs off their own task.
